Excel attendance vs biometric attendance

Compare spreadsheet attendance and biometric punches by evidence, corrections, employee mapping and payroll handoff for your team.

Excel is a record and analysis tool; a biometric terminal collects identity-linked punches. They address different parts of attendance. Either still needs a review process before payroll.

Compare collection with record keeping

A spreadsheet can hold manually reported presence and times, leave and payroll formulas. Its reliability depends on the entry owner, permissions, source evidence and formula maintenance. A small team with one accountable reviewer may manage this well.

A biometric terminal records enrolled user IDs and times. It does not independently approve leave, resolve unmatched IDs or decide whether an absence is unpaid. An HR workflow connects those punches with employee records and policy.

Choose by the failure you need to solve

If staff repeatedly forget to submit a daily sheet, a terminal may improve collection for an office. If the problem is conflicting leave approvals or stale salary formulas, buying a terminal alone will not fix the handoff. Trace one exception from collection to salary review.

For remote employees, an office terminal is not the relevant collection path. Define a permitted portal attendance process and approval policy. A portal check-in records an action; it does not establish location or productivity.

Account for correction and rollout effort

With Excel, assign a master file, restrict access and document formulas. With biometrics, confirm hardware, connection path, device PINs, offline recovery and who resolves exceptions. Both need an attendance cutoff and payroll reviewer.

OPleo accepts supported device punches, USB imports and manual records. Confirm your actual file format and terminal firmware before rollout. Start with one reviewed month and compare employee-day records, rather than assuming a device export is already payroll-ready.

Questions about hr operations guide

Do biometrics replace Excel?

They can replace some manual punch collection. Reporting, corrections, policy and payroll review still need a defined workflow, whether in a spreadsheet or HR software.

Which approach is cheaper?

Compare your existing licence and administration costs with hardware, installation, software, support and exception-review time. Use your own measured workload rather than assumed savings.
