Payroll mistakes caused by attendance errors

Trace payroll discrepancies to missing punches, employee mapping, leave records and calendar assumptions before approving salary slips.

Attendance errors can distort payroll inputs when an incomplete day becomes absence, approved leave is missing, or a punch is assigned to the wrong employee. Fix the source and review the calculation before issuing pay documents.

Find the employee-day behind the discrepancy

Start with the employee and date affecting the preview. Compare the device or manual source with the attendance record, then check approved leave. A monthly total can hide a wrong employee mapping or a single unresolved date.

Separate collection problems from policy differences. A missing terminal punch needs source review. A different daily rate may come from the working calendar rather than attendance. Changing attendance to force the expected amount can conceal the real cause.

Review common failure patterns

An unmatched PIN leaves a punch disconnected from the employee. A missed departure leaves an incomplete day. A leave approval recorded only in messages may fail to reach the reviewed month. Each needs a different owner and correction.

Duplicate or delayed imports deserve a source comparison. Verify the resulting employee-day record after recovery rather than adding assumed attendance. If night work is involved, explicitly test how dates are attributed.

Use an illustrative payroll check

Suppose a salaried employee has approved leave within the configured allowance but the source sheet labels the day absent. Reconcile the leave record before approving a deduction. Do not assume all recorded time away is unpaid.

For arithmetic only, a PKR 90,000 salary over 26 working days gives a PKR 3,461.54 daily rate. A genuinely unpaid day changes the preview differently from paid approved leave. Configured progressive tax brackets can estimate withholding, but the correct annual tax schedule, exemptions and other statutory obligations require qualified review. Overtime and specialist allowances are separate review requirements.

Prevent the same mistake next month

Set an attendance exception cutoff before payroll approval. HR confirms identity, salary and leave; the attendance owner resolves source errors; accounts compares rates and deductions with the reviewed inputs. Preserve the reason for each correction.

After review, issue the salary slip and follow your payment process. If an error is discovered later, agree the correction and communication with the responsible reviewer. A generated slip does not prove payment or statutory compliance.

Questions about hr operations guide

Is every payroll difference an attendance error?

No. Salary, working-calendar settings, leave allowances, late grace and separately calculated adjustments can also cause differences.

Does software eliminate payroll mistakes?

No. Connected records can reduce repeated handoffs, but accurate inputs, policy settings and human review remain necessary.
